Quote intake · for wholesalers and suppliers
Bee Flow reads quote requests as they arrive in your mailbox, picks out the customer, items and quantities, and puts them ready in the format your team works with. A person checks before anything goes out.

How it works
By e-mail, as typed text or an attachment, in your shared mailbox in Gmail or Microsoft 365.
It picks out customer, contact, items, quantities and the requested date, also from PDFs and scans.
Items and customers are matched with your own lists, or with your system where it offers an API.
Your team sees a prepared request and approves, corrects or rejects it. Unclear requests go to a person instead of being guessed.
The work stays the same. The typing and searching go.
| Today | With Bee Flow | |
|---|---|---|
| Reading the request | Someone opens every mail and attachment | Read automatically, also from PDFs and scans |
| Typing it over | Lines are retyped into a sheet or system | Fields are filled in, ready to check |
| Missing details | Found late, then a follow-up mail | Flagged straight away, with a draft question for the customer |
| Overview | In the mailbox of whoever picked it up | One list with every request and its status |
| Control | Depends on who is in | Every step logged; nothing reaches a customer without approval |
What you get
Gmail or Microsoft 365, including shared mailboxes. Other mail servers as custom work.
Customer, items, quantities and dates from mail text, PDFs and scans. Reading is never 100% certain, so doubtful cases go to a person.
Every request in one overview with its status, so nothing gets lost when someone is away.
A person approves every message to a customer. Each decision is logged: who, when and what they saw.
Reading from or writing to your ERP or order system goes through that system's API and is agreed per system.
We build it with you, test it on your own examples without sending anything, and look after it every month.
Fictional data
"Hello, could you quote 20 ball valves DN25, 12 pipe clamps 28 mm and 5 metres of copper pipe 22 mm? Delivery in week 48 to our site in Utrecht. Kind regards, J. de Boer, Installatiebedrijf Voorbeeld."
For your team to check
Customer: Installatiebedrijf Voorbeeld (matched). Contact: J. de Boer. Lines: ball valve DN25 × 20, pipe clamp 28 mm × 12, copper pipe 22 mm × 5 m. Delivery: week 48, Utrecht. Note: pipe clamp has two matching items, please choose.
Honest about limits
Handwritten notes, poor scans or vague wording are set aside for a person instead of guessed.
Bee Flow prepares. Prices and conditions come from your own lists, and your team checks them.
If your system has no API, we deliver to a list or file your team imports. We agree this before we start.
After a 20-minute process call you get a fixed price for setting it up and a monthly amount for management. We base it on your volume and your systems. On top of that come the software licence, hosting and the use of an AI model; the licence prices are on the pricing page.

No. Bee Flow connects to Gmail or Microsoft 365 and works with the system you already use. Where that system has no API, we deliver to a list or file.
A set of recent requests as examples, your item list or access to your system, and one person who decides how exceptions are handled.
That depends on your volume and systems. After the process call you get a planning and a fixed price.
They are set aside for a person with a note on what is missing. Bee Flow does not guess.
Mails and attachments are processed in your Bee Flow environment. To read them, the text goes to the AI model you choose, hosted or on your own hardware. With the guard service installed and switched on, Privacy Shield checks for personal data first. The security page explains the details.
Yes. Most companies start with one mailbox and one type of request, and add more once it runs well.
Tell us how requests arrive today and what happens next. We tell you honestly whether automating it pays off.
