Service inbox · for installation and service companies
Bee Flow reads incoming service mails, picks out customer, address, installation and urgency, and prepares a work order and a reply. Your planner decides; nothing is scheduled or sent without a person.

How it works
By e-mail or a web form, in your shared mailbox in Gmail or Microsoft 365.
Customer, address, installation, problem and urgency are picked out. Photos and attachments stay with the request.
Urgent cases are flagged by your own rules. A draft work order and a draft reply to the customer are ready.
Approve, adjust or call the customer. Nothing is scheduled or sent without a person.
Your planner keeps the decisions. The reading and typing go.
| Today | With Bee Flow | |
|---|---|---|
| Reading requests | Someone reads every mail | Read and sorted automatically |
| Urgency | Noticed when someone gets to it | Flagged straight away, with the reason |
| Missing details | Calling the customer back later | A draft question to the customer is ready |
| Work order | Typed over into the planning system | Prepared, ready to check |
| Overview | Spread over mailboxes and notes | One list with every request and its status |
What you get
Gmail or Microsoft 365, including shared mailboxes. Other mail servers as custom work.
Customer, address, installation and problem from mail text and attachments. Reading is never 100% certain, so doubtful cases go to a person.
You decide what is urgent, for example no heating in winter. Bee Flow applies your rules and shows why.
A prepared work order and a draft reply to the customer, for your planner to approve or adjust.
Reading from or writing to your planning or service system goes through its API and is agreed per system.
We build it with you, test it on your own examples without sending anything, and look after it every month.
Fictional data
"Good morning, since this morning our boiler shows error F28 and we have no hot water. We are at Dorpsstraat 12 in Voorbeeldstad. Could someone come today? Regards, P. Bakker."
For your planner to check
Customer: P. Bakker (matched), Dorpsstraat 12, Voorbeeldstad. Installation: boiler. Problem: error F28, no hot water. Urgency: high (no hot water, by your rule). Draft reply: we have received your report and will call you today to plan a visit.
Honest about limits
Bee Flow reads what the customer writes. It does not decide what is wrong with an installation; your technician does.
Bee Flow prepares. Visits are scheduled and replies sent only after a person approves.
If your planning system has no API, we deliver to a list your planner works from. We agree this before we start.
After a 20-minute process call you get a fixed price for setting it up and a monthly amount for management. We base it on your volume and your systems. On top of that come the software licence, hosting and the use of an AI model; the licence prices are on the pricing page.

No. Bee Flow connects to Gmail or Microsoft 365 and works next to your planning system. Where that system has no API, we deliver to a list your planner works from.
You do. We set up your own rules together, and Bee Flow shows for each request why it was marked urgent.
Only if you want that. By default your planner approves every reply before it goes out.
That depends on your volume and systems. After the process call you get a planning and a fixed price.
Mails and attachments are processed in your Bee Flow environment. To read them, the text goes to the AI model you choose, hosted or on your own hardware. With the guard service installed and switched on, Privacy Shield checks for personal data first. The security page explains the details.
Yes. Start with one mailbox and one type of request, and add more once it runs well.
Tell us how requests reach you today and what your planner does with them. We tell you honestly whether automating it pays off.
